Data Backup & Preservation Terms

The IQSS Dataverse Network maintains a full backup of all data and directories on the Network for 6 months, in the Harvard Depository. This means that there always is a full, offsite copy of the Network that is less than 7 months old.

Backup Schedule

On Mondays, any files changed since the last full back up are backed up. On other days, only the files changed since the last incremental back up are backed up.

Full back ups also are performed administratively on an as-needed basis.

Policy and Procedures for Digital Archiving 

The IQSS policy for digital archiving is part of the institution's general mission to preserve all of its archival collections and to ensure their availability for current and future use. More specifically, this policy for preserving our digital data collections is meant to ensure continued access to born digital and digitized data, to ensure their authenticity, and to maintain data quality using the best digital archival practice. 

IQSS will maintain on-line storage, backup, and media migration sufficient for all studies it accepts (in addition to storage provided for the IQSS DVN).

IQSS commits to best archival practice to ensure that all materials deposited in the archive remain available and usable. This includes: preserving previously deposited versions of materials; deaccessioning (removal) of studies only when legally compelled; maintaining public access to the materials; regularly reviewing risks to materials; and reformatting materials as necessary to avoid format obsolescence.

Preservation of Materials Deposited in the IQSS DVN

The Henry A. Murray Archive, through its endowment, supports permanent bit-level preservation of all social science research studies directly deposited in the IQSS Dataverse Network.

Specifically, the IQSS has made a commitment to Dataverse owners to maintain on-line storage, backup, and media migration for material deposited in IQSS DVN.

In addition all data deposited in the IQSS DVN and made available to the public is replicated by the Data-PASS partners for permanent preservation by the partnership.

Notwithstanding IQSS's commitment to archival preservation, all questions about finding, using and archiving data distributed by others in the IQSS DVN network should be referred to individual dataverse owners. Owners of individual dataverses have sole control over selection of materials, choice of archival practices, documentation, access policies, usability, and formatting of all material in these dataverses; and individual dataverse owners may choose to restrict access to information in their dataverses.

Archival Procedures

The Archive's digital archival procedure consists of:

  1. Daily Data Backup
  2. Off-site Backup Data Storage
  3. Progressive Backup Data Migration

Daily Data Backup

  • Content to Backup (data files and metadata)
  • Backup Schedule (regular full and daily incremental)
  • Backup monitoring (completion status and data verification)
  • Management of media (tapes indexed and recorded in a database)
  • Replication verification tests (to insure system integrity)

Off-site Backup Data Storage

In addition to the backup media kept in the server room for quick restoration of data when needed, the Archive also uses the Harvard Depository to keep copies of backup media off-site. The Harvard Depository is a climate-controlled storage and retrieval facility designed for just this kind of long-term preservation. Periodically, the Murray Research Archive will update the media transport and replacement schedule with the Depository in order to maintain the continued quality of the backups and the efficiency of data restoration.

Progressive Backup Data Migration

To ensure long-term continual access to digital materials when required hardware, software, and other technologies evolve over time, a systematic data migration plan has been designed. Following this plan, the Murray Research Archive will move data from any storage media, data format and associated hardware and/or software that are becoming obsolete to new media, format, hardware, and/or software that are or are becoming standard or currently considered best practice. The Murray Research Archive will also have an annual review of the media, format, hardware and software that are used in our data backup and storage, and will have the budgetary means to migrate data when necessary. The data status review and migration schedule will additionally be recorded with Harvard's Records Management Office, so that important maintenance dates for our data stored in the Harvard Depository will be monitored and proper schedules will be maintained.

Dataverse as a Service at IQSS

The Dataverse Network hosted at the Institute for Quantitative Social Science at Harvard University (see IQSS Dataverse Network ) offers you the option to create a dataverse - your own data archive - for uploading and sharing social science research data. This is a free service to all researchers, not only from Harvard, but around the world. We encourage data sharing to allow replicability of existing research work, and provide a formal citation to the data.

The IQSS Dataverse Network also offers a large collection of data files available for download, and in some cases, subset and analysis. To learn more on how you can find data uploaded or harvested to the IQSS Dataverse Network, go to Discover Data.

Publish Data

The IQSS Dataverse Network offers two choices to publish your data (and share it).

  1. Create your own dataverse and upload your data: You can easily have your own dataverse at the IQSS Dataverse Network by creating an account and giving a name to the datavere, and then start uploading your data. It's only a few steps, and your data will be cataloged with a formal, persistent citation, accessible to those you choose (from public to completely restricted), and securely backed up in our servers.
  2. Some dataverses offer the option to contribute to their dataverse, instead of creating your own dataverse. In this case, the dataverse will indicate that it is open to those who create accounts, and detailed information will be provided in the dataverse itself.

Either choice makes your study part of the IQSS Dataverse Network, and your data are backed up in perpetuity by the Henry A. Murray Archive. This service is free and open to all researchers in the world.

Recommendations

  • Have your data available and accessible from your computer when you are ready to create a study and upload data.
  • If you are uploading tabular data, we recommend first converting the file to SPSS or STATA to get additional services when it is uploaded, such as subsettable features, multiple formats for download, and a Universal Numerical Fingerprint (UNF).
  • If you are uploading network data, we recommend first converting the file to GraphML to get additional services when it is uploaded, such as subsetting and pre-defined measurements.
  • Do not worry If your data is in a format not mentioned above. All data formats are supported and will be uploaded in its original format (pdf, excel, csv, jpg, ...). 
  • Maximum file size is 2 GB, but you can upload as many files as needed to one study. If you need to upload individual files larger than 2 GB, contact our support team at dvn_support@help.hmdc.harvard.edu for further assistance.

Discover Data

The IQSS Dataverse Network contains studies from large archives as well as studies from small dataverses owned by individual researchers. The owner of each dataverse chooses whether or not to share the study information and data files. We encourage everyone who creates a dataverse to make the data public, but this of course is not always possible due to confidentiality or personal reasons.

Here are some of the large dataverse in our Dataverse Network that hold data from known archives:

  • Murray Research Archive dataverse: This dataverse has a mix of studies for which the data are restricted for use. Information on data access can be found on the Murray Archive dataverse (Link to MRA DV: http://dvn.iq.harvard.edu/dvn/dv/mra).
  • ODUM dataverse: Studies in this dataverse are harvested from the ODUM Dataverse Network (Link to Odum DV: http://dvn.iq.harvard.edu/dvn/dv/odum)
  • ICPSR dataverse: The data in this dataverse are accessible only to Harvard and MIT affiliates. The study information is available for viewing by everyone (Link to ICPSR DV: http://dvn.iq.harvard.edu/dvn/dv/icpsr).
  • Roper dataverse:  All study information is available to the public, but the data files are not accessible through this dataverse. To access the data, follow the original source link in the study (Link to Roper DV: http://dvn.iq.harvard.edu/dvn/dv/roper)
  • Data Web:
  • N.A.R.A:This dataverse contains the numeric data holdings from the National Archives and Records administration of the United States. Most holdings (those which are not sensitive) are available to the public with a nominal copying charge. To order a specific study, use the links in the "conditions" and abstract for that study (Link to NARA DV: http://dvn.iq.harvard.edu/dvn/dv/nara)

Most other dataverses in the IQSS Dataverse Network have public data. If a study has restricted data, you can contact the administrator of that dataverse (Contact Us) to find out more on how to access the data, if possible.

Other Dataverse Networks (independent of the IQSS Dataverse Network) might have different conditions on their data access. Consult those Dataverse Networks directly if you are interested in their specific data. Examples:

Terms of Use

The IQSS Dataverse Network defines Terms of Use for creating an account, uploading data and downloading and use the data. We stronlgy recommend other Dataverse Network installation to use similar Terms of Use to protect their content and usage. Each dataverse can define additional Terms of Use for downloading data owned by that dataverse.

Account Terms

Acceptance of Terms

The following terms and conditions govern all use of the IQSS Dataverse website (http://dvn.iq.harvard.edu) (the Site) and the services available on or at the Site (taken together, the Service). The Service is owned and operated by IQSS, of Harvard University (IQSS). The Service is offered subject to acceptance without modification of all of the terms and conditions contained herein (the Terms of Use) and all other operating rules, policies and procedures that may be published from time to time on this Site by Harvard University.

The Service is available only to individuals who are at least 13 years old or possess legal parental or guardian consent. If you do not so qualify, do not attempt to use the Service. IQSS may refuse to offer the Service to any person or entity at any time and may change its eligibility criteria, at any time, in its sole discretion.

Modification of Terms of Use

IQSS reserves the right, at its sole discretion, to modify or replace any of the Terms of Use at any time. It is your responsibility to check the Terms of Use periodically for changes. Your continued use of the Service following the posting of any changes to the Terms of Use constitutes acceptance of those changes.

Privacy

IQSS's current Site Privacy Statement is located on the its privacy page (http://dvn.iq.harvard.edu/dvn/faces/AboutPage.jsp) and is incorporated into these Terms of Use. For inquiries in regard to IQSS's Privacy Policy, or to report a privacy-related problem, please contact support@help.hmdc.harvard.edu.

Rules and Conduct

As a condition of use, you promise not to use the Service for any purpose that is prohibited by the Terms of Use. For purposes of the Terms of Use, "Content" includes, without limitation, any information, data, text, software, scripts, graphics, and interactive features generated, provided, or otherwise made accessible by IQSS or its partners on or through the Service.

By way of example, and not as a limitation, you shall not (or permit others to) either (a) take any action or (b) upload, download, post, submit or otherwise distribute or facilitate distribution of any content using any communications service or other service available on or through the Service, that:

  • infringes any patent, trademark, trade secret, copyright, right of publicity or other right of any other person or entity;
  • is unlawful, threatening, abusive, harassing, defamatory, libelous, deceptive, fraudulent, invasive of another's privacy, tortious, obscene, offensive, or profane;
  • constitutes unauthorized or unsolicited advertising, junk or bulk e-mail ("spamming");
  • contains software viruses or any other computer codes, files, or programs that are designed or intended to disrupt, damage, limit or interfere with the proper function of any software, hardware, or telecommunications equipment or to damage or obtain unauthorized access to any system, data or other information of IQSS or any third party; or
  • Additionally, you shall not: (i) take any action that imposes or may impose (as determined by IQSS in its sole discretion) an unreasonable or disproportionately large load on IQSS's (or its third party providers') infrastructure; (ii) interfere or attempt to interfere with the proper working of the Service or any activities conducted on the Service; or (iii) bypass any measures IQSS may use to prevent or restrict access to the Service (or other accounts, computer systems or networks connected to the Service).

You shall abide by all applicable local, state, national and international laws and regulations.

Registration

As a condition to using Services, you may be required to register with IQSS and select a password and login name (IQSS Login Name). You shall provide IQSS with accurate, complete, and updated registration information. Failure to do so shall constitute a breach of the Terms of Use, which may result in immediate termination of your IQSS account. You shall not (i) select or use as a IQSS Login Name a name of another person with the intent to impersonate that person; (ii) use as a IQSS Login Name a name subject to any rights of a person other than you without appropriate authorization; or (iii) use as a IQSS Screen Name a name that is otherwise offensive, vulgar or obscene. IQSS reserves the right to refuse registration of, or cancel a IQSS Screen Name in its sole discretion. You are solely responsible for activity that occurs on your account and shall be responsible for maintaining the confidentiality of your IQSS password. You shall never use another user's account without such other user's express permission. You will immediately notify IQSS in writing of any unauthorized use of your account, or other account related security breach of which you are aware.

User Submissions

The Service provides you with the ability to upload, submit, disclose, distribute or otherwise post (hereafter, "posting") content (including, without limitation, information, data, and images) to the Service ("User Submissions") and to allow other users to do so. The Service provides you with the ability to display, organize, and accept content through creating a Dataverse.

The Services also provides you with the ability to post User Submissions to other Dataverses administered by third parties ("Third-Party Dataverse Administrator"), subject to the permissions and terms of use required by those Third Party Dataverse Administrators. User Submissions posted to third party Dataverse are also subject to curation by ("Curated By") the Third-Party Dataverse Administrator for that dataverse.

An important part of the mission of IQSS is to acquire and preserve research data and provide access to it. IQSS is a member of the Data-PASS alliance, a partnership of major social science data archives in the United States. IQSS intends to create archival versions of the Content that will facilitate preservation, verification, management, and use, and to permanently archive these versions of the Content at multiple locations. IQSS will use good archival practices, as identified by IQSS and Data-PASS, to retain and preserve Content deposited into the Site. Notwithstanding, you acknowledge that IQSS and Third-Party Datavere Administrators will not be liable for any loss of or damage to the User Submissions, either in whole or in part.

Please be aware that the Institute does not review data submissions before they are made available to the public, so we may only accept data that is publicly distributable. BEFORE YOU CONTRIBUTE DATA TO THE ARCHIVE, YOU MUST ENSURE THAT THE DATA MEETS OUR TERMS AND CONDITIONS. If your data does not meet our terms and conditions, the Archive is unable to accept your data. You will be held legally and financially responsible for the Archive's damages if data you contribute violates these terms and conditions.

By posting User Submissions on or at the Site, or otherwise through the Service, to your Dataverse or other Dataverses, or by allowing others to do so, you make the following representations and warranties to IQSS and to the administrator of that Dataverse:

  • The User Submissions do not infringe upon the copyrights or other intellectual property rights, including, but not limited to patent, trademark, trade secret, copyright, right of publicity or other right of any other of any third party.
  • The User Submissions do not violate any laws, including but not limited to laws related to defamation or obscenity.
  • You will promptly notify both IQSS and the administrator of the dataverse curating the User Submissions of any confidentiality, privacy or data protection, licensing, or intellectual property issues regarding the User Submissions.
  • The User Submissions do not contains software viruses or any other computer codes, files, or programs that are designed or intended to disrupt, damage, limit or interfere with the proper function of any software, hardware, or telecommunications equipment or to damage or obtain unauthorized access to any system, data or other information of IQSS or any third party.
  • You acknowledge that IQSS will not be liable for any loss of or damage to the User Submissions, either in whole or in part.
  • If the User Submission is subject to IRB review, the User Submissions were given IRB approval

The Service gives the Dataverse owner the ability to restrict access to User Submissions to specified user accounts ("Restricted User Submissions"). Third-Party Dataverses may also choose to restrict certain User Submissions in accordance with their own terms of use of use. All other User Submissions shall be deemed Unrestricted. By posting Unrestrict User Submissions on or at the Site, or otherwise through the Service, to your Dataverse or other Dataverses, or by allowing others to do so, you make the following representations and warranties to IQSS and to the administrator of that Dataverse:

The User Submissions do not contain information that could directly or indirect directly or indirectly, identify subject except where the release of such identifying information has no potential for constituting an unwarranted invasion of privacy and/or breach of confidentiality. And for all personally-identifiable information in the data at least one of following conditions applies:

This information has been previously released to the public;

  • this information describes public figures, where the data relates to their public roles or other non-sensitive subjects;
  • a sufficient length of time has passed since the collection of the information so that the data can be considered "historic";
  • all identified subjects have given explicit informed consent allowing the public release of the information in the dataset;
  • all information was collected with an explicit statement concerning the public nature of the data, such as information collected for governmental regulatory purposes;
  • or, for federal records (data created by a U.S. federal government agency or under a federal contract) only, all identified subjects are deceased and no federal statute explicitly restricts the release of the data

You give permission and any required licenses to IQSS to make the Content available for archiving, preservation and access, within the Data Preservation Alliance for the Social Sciences ("Data-PASS") through the Data-PASS terms of use (available from: http://www.murray.harvard.edu/files/murray/datapass-murray.pdf). Including, without restriction permission to:

  • To redisseminate copies of the Data Collection in a variety of distribution formats according the standard terms of use of IQSS Dataverse Network
  • To promote and advertise the Data Collection in any publicity (in any form) for Data-PASS and the IQSS Dataverse Network
  • To describe, catalog, validate and document the User Submissions
  • To store, translate, copy or re-format the Data Collection in any way to ensure its future preservation and accessibility; improve usability and/or protect respondent confidentiality
  • To incorporate metadata (cataloging information) or documentation in the User Submission into public access catalogues

You shall not provide IQSS with any confidential or proprietary information that you desire or are required to keep secret. You are solely responsible for the User Submissions you post on or through the Service. IQSS does not endorse and has no control over any User Submission.

IQSS has no obligation to monitor the Site, Service, Content, or User Submissions. IQSS may remove any User Submission at any time for any reason (including, but not limited to, upon receipt of claims or allegations from third parties or authorities relating to such User Submission), or for no reason at all.

You represent and warrant are lawfully entitled and have full authority to license IQSS to use the Materials in the ways described in these Terms and Conditions; and you are not under any obligation or restriction created by law, contract or otherwise that would prevent you from entering into and fully performing these Terms and Conditions.

Termination

IQSS may terminate your access to all or any part of the Service at any time, with or without cause, with or without notice, effective immediately. If you wish to terminate your account, you may notify IQSS at support@help.hmdc.harvard.edu. All provisions of the Terms of Use which by their nature should survive termination shall survive termination, including, without limitation, ownership provisions, warranty disclaimers, indemnity and limitations of liability.

No Warranties

THE SERVICE (INCLUDING, WITHOUT LIMITATION, THE CONTENT AND USER SUBMISSIONS) IS PROVIDED "AS IS" AND "AS AVAILABLE" AND IS WITHOUT WARRANTY OF ANY KIND, EXPRESS OR IMPLIED, INCLUDING, BUT NOT LIMITED TO, THE IMPLIED WARRANTIES OF TITLE, NON-INFRINGEMENT, MERCHANTABILITY AND FITNESS FOR A PARTICULAR PURPOSE, AND ANY WARRANTIES IMPLIED BY ANY COURSE OF PERFORMANCE OR USAGE OF TRADE, ALL OF WHICH ARE EXPRESSLY DISCLAIMED. IQSS, AND ITS DIRECTORS, EMPLOYEES, AGENTS, SUPPLIERS, PARTNERS ND

CONTENT PROVIDERS DO NOT WARRANT THAT: (A) THE CONTENT OR USER SUBMISSIONS ARE IMELY, ACCURATE, COMPLETE, RELIABLE OR CORRECT; (B) THE SERVICE WILL BE SECURE OR AVAILABLE AT ANY PARTICULAR TIME OR LOCATION; (C) ANY DEFECTS OR ERRORS WILL BE CORRECTED; (D) THE CONTENT OR USER SUBMISSIONS ARE FREE OF VIRUSES OR OTHER HARMFUL COMPONENTS; OR (E) THE RESULTS OF USING THE SERVICE WILL MEET YOUR REQUIREMENTS. IQSS MAKES NO WARRANTIES, EXPRESS OR IMPLIED, BY OPERATION OF LAW OR OTHERWISE, REGARDING OR RELATING TO THE SERVICES OR CONTENT PROVIDED.

Limitation of Liability

Indemnification

You will indemnify and hold IQSS and Third-Party Dataverse Administrators harmless from and against any and all loss, cost, expense, liability, or damage, including, without limitation, all reasonable attorneys' fees and court costs, arising from the i) use or misuse of the Service; (ii) your access to the Site, use of the Services, violation of the Terms of Use by you; or, (iii) the infringement by you, or any third party using your account, of any intellectual property or other right of any person or entity. Such losses, costs, expenses, damages, or liabilities shall include, without limitation, all actual, general, special, and consequential damages.

Dispute Resolution

A printed version of the Terms of Use and of any notice given in electronic form shall be admissible in judicial or administrative proceedings based upon or relating to the Terms of Use to the same extent and subject to the same conditions as other business documents and records originally generated and maintained in printed form. You and IQSS agree that any cause of action arising out of or related to the Service must commence within one (1) year after the cause of action arose; otherwise, such cause of action is permanently barred.

These Terms and Conditions shall be governed by and interpreted in accordance with the laws of the Commonwealth of Massachusetts (excluding the conflict of laws rules thereof). All disputes under these Terms and Conditions will be resolved in the applicable state or federal courts of Massachusetts. You consent to the jurisdiction of such courts and waive any jurisdictional or venue defenses otherwise available. Use of the Service is not authorized in any jurisdiction that does not give effect to all provisions of the Terms of Use, including without limitation, this section.

Integration and Severability

The Terms of Use are the entire agreement between you and IQSS with respect to the Service and use of this Site, and supersede all prior or contemporaneous communications and proposals (whether oral, written or electronic) between you and IQSS with respect to this Site (but excluding the use of any software which may be subject to a separate end-user license agreement). If any provision of the Terms of Use is found to be unenforceable or invalid, that provision will be limited or eliminated to the minimum extent necessary so that the Terms of Use will otherwise remain in full force and effect and enforceable.

Miscellaneous

The Terms of Use are personal to you, and are not assignable, transferable or sublicensable by you except with IQSS's prior written consent. IQSS may assign, transfer or delegate any of its rights and obligations hereunder without consent. No agency, partnership, joint venture, or employment relationship is created as a result of the Terms of Use and neither party has any authority of any kind to bind the other in any respect. In any action or proceeding to enforce rights under the Terms of Use, the prevailing party will be entitled to recover costs and attorneys' fees. All notices under the Terms of Use will be in writing and will be deemed to have been duly given when received, if personally delivered or sent by certified or registered mail, return receipt requested; when receipt is electronically confirmed, if transmitted by facsimile or e-mail; or the day after it is sent, if sent for next day delivery by recognized overnight delivery service.

You may not use the name "Harvard" (alone or as part of another name) in advertising or promotional materials without the Archive's prior written approval.

Data Deposit Terms

The following terms and conditions govern all use of the IQSS Dataverse website (http://dvn.iq.harvard.edu) (the Site) and the services available on or at the Site (taken together, the Service). The Site is owned and operated by IQSS, of Harvard University (IQSS). You represent and warrant to IQSS that you are lawfully entitled and have full authority to license IQSS and the Archive to use the Materials in the ways described in these Terms and Conditions and that you are not under any obligation or restriction created by law, contract or otherwise that would prevent you from entering into and fully performing these Terms and Conditions;
  2. You give permission and any required licenses to IQSS and the Archive to store and backup the materials;
  3. The Materials do not violate any laws, including but not limited to laws related to defamation or obscenity;
  4. The Materials do not infringe upon the copyrights or other intellectual property rights, including, but not limited to patent, trademark, trade secret, copyright, right of publicity or other right of any other of any third party.
  5. The Materials do not contains software viruses or any other computer codes, files, or programs that are designed or intended to disrupt, damage, limit or interfere with the proper function of any software, hardware, or telecommunications equipment or to damage or obtain unauthorized access to any system, data or other information of IQSS or any third party.
  6. If human subjects were studied in the collection of the Materials, you collected the Materials with IRB approval;
  7. The Materials does not contain high-risk confidential information such as social security numbers; credit card numbers; medical record numbers; health plan numbers; other account numbers; certificate/license numbers; or biometric identifiers (fingerprints, retina, voice print, DNA etc.).
  8. You acknowledge that IQSS will not be liable for any loss of or damage to the Materials, either in whole or in part.
  9. The Service gives the Archive Administrors the ability to restrict access to Materials to specified user accounts ("Restricted User Submissions"). Third-Party Dataverses may also choose to restrict certain User Submissions in accordance with their own terms of use of use. All other User Submissions shall be deemed Unrestricted. By posting Unrestricted User Submissions on or at the Site, or otherwise through the Service, to your Dataverse or other Dataverses, or by allowing others to do so, you make the following representations and warranties to IQSS and to the administrator of that Dataverse:
    1. The User Submissions do not contain information that could directly or indirect directly or indirectly, identify subject except where the release of such identifying information has no potential for constituting an unwarranted invasion of privacy and/or breach of confidentiality. And for all personally-identifiable information in the data at least one of following conditions applies:

       

      1. This information has been previously released to the public;
      2. this information describes public figures, where the data relates to their public roles or other non-sensitive subjects;
      3. a sufficient length of time has passed since the collection of the information so that the data can be considered "historic";
      4. all identified subjects have given explicit informed consent allowing the public release of the information in the dataset;
      5. all information was collected with an explicit statement concerning the public nature of the data, such as information collected for governmental regulatory purposes;
      6. or, for federal records (data created by a U.S. federal government agency or under a federal contract) only, all identified subjects are deceased and no federal statute explicitly restricts the release of the data
    2. You give permission and any required licenses to IQSS to make the Content available for archiving, preservation and access, within the Data Preservation Alliance for the Social Sciences ("Data-PASS") through the Data-PASS terms of use (available from:http://www.murray.harvard.edu/files/murray/datapass-murray.pdf). Including, without restriction permission to:
      1. To redisseminate copies of the Data Collection in a variety of distribution formats according the standard terms of use of IQSS Dataverse Network
      2. To promote and advertise the Data Collection in any publicity (in any form) for Data-PASS and the IQSS Dataverse Network
      3. To describe, catalog, validate and document the User Submissions
      4. To store, translate, copy or re-format the Data Collection in any way to ensure its future preservation and accessibility; improve usability and/or protect respondent confidentiality
      5. To incorporate metadata (cataloging information) or documentation in the User Submission into public access catalogues
  10. You shall not provide IQSS with any confidential or proprietary information that you desire or are required to keep secret. You are solely responsible for the User Submissions you post on or through the Service. IQSS does not endorse and has no control over any User Submission.
  11. You will indemnify and hold IQSS and from and against any and all loss, cost, expense, liability, or damage, including, without limitation, all reasonable attorneys' fees and court costs, arising from the i) use or misuse of the Service; (ii) your access to the Site, use of the Services, violation of the Terms of Use by you; or, (iii) the infringement by you, or any third party using your account, of any intellectual property or other right of any person or entity. Such losses, costs, expenses, damages, or liabilities shall include, without limitation, all actual, general, special, and consequential damages.
  12. You may not use the name "Harvard" (alone or as part of another name) in advertising or promotional materials without the Archive's prior written approval.
  13. These Terms and Conditions shall be governed by and interpreted in accordance with the laws of the Commonwealth of Massachusetts (excluding the conflict of laws rules thereof). All disputes under these Terms and Conditions will be resolved in the applicable state or federal courts of Massachusetts. You consent to the jurisdiction of such courts and waive any jurisdictional or venue defenses otherwise available.

Data Use Terms

By downloading these Materials, I agree to the following:

  1. I will not use the Materials to
    1. obtain information that could directly or indirectly identify subjects.
    2. produce links among the Distributor's datasets or among the Distributor's data and other datasets that could identify individuals or organizations.
    3. obtain information about, or further contact with, subjects known to me except where the use and/or release of such identifying information has no potential for constituting an unwarranted invasion of privacy and/or breach of confidentiality.
  2. I agree not to download any Materials where prohibited by applicable law.
  3. I agree not to use the Materials in any way prohibited by applicable law.
  4. I agree that any books, articles, conference papers, theses, dissertations, reports, or other publications that I create which employ data reference reference the bibliographic citation accompanying this data. These citations include the data authors, data identifier, and other information accord with the Recommended Standard (http://thedata.org/citation/standard) for social science data.
  5. The distributor makes no warranties, express or implied, by operation of Law or otherwise, regarding or relating to the dataset.

Data Backup & Preservation Terms

The IQSS Dataverse Network maintains a full backup of all data and directories on the Network for 6 months, in the Harvard Depository. This means that there always is a full, offsite copy of the Network that is less than 7 months old.

Backup Schedule

On Mondays, any files changed since the last full back up are backed up. On other days, only the files changed since the last incremental back up are backed up.

Full back ups also are performed administratively on an as-needed basis.

Policy and Procedures for Digital Archiving 

The IQSS policy for digital archiving is part of the institution's general mission to preserve all of its archival collections and to ensure their availability for current and future use. More specifically, this policy for preserving our digital data collections is meant to ensure continued access to born digital and digitized data, to ensure their authenticity, and to maintain data quality using the best digital archival practice. 

IQSS will maintain on-line storage, backup, and media migration sufficient for all studies it accepts (in addition to storage provided for the IQSS DVN).

IQSS commits to best archival practice to ensure that all materials deposited in the archive remain available and usable. This includes: preserving previously deposited versions of materials; deaccessioning (removal) of studies only when legally compelled; maintaining public access to the materials; regularly reviewing risks to materials; and reformatting materials as necessary to avoid format obsolescence.

Preservation of Materials Deposited in the IQSS DVN

The Henry A. Murray Archive, through its endowment, supports permanent bit-level preservation of all social science research studies directly deposited in the IQSS Dataverse Network.

Specifically, the IQSS has made a commitment to Dataverse owners to maintain on-line storage, backup, and media migration for material deposited in IQSS DVN.

In addition all data deposited in the IQSS DVN and made available to the public is replicated by the Data-PASS partners for permanent preservation by the partnership.

Notwithstanding IQSS's commitment to archival preservation, all questions about finding, using and archiving data distributed by others in the IQSS DVN network should be referred to individual dataverse owners. Owners of individual dataverses have sole control over selection of materials, choice of archival practices, documentation, access policies, usability, and formatting of all material in these dataverses; and individual dataverse owners may choose to restrict access to information in their dataverses.

Archival Procedures

The Archive's digital archival procedure consists of:

  1. Daily Data Backup
  2. Off-site Backup Data Storage
  3. Progressive Backup Data Migration

Daily Data Backup

  • Content to Backup (data files and metadata)
  • Backup Schedule (regular full and daily incremental)
  • Backup monitoring (completion status and data verification)
  • Management of media (tapes indexed and recorded in a database)
  • Replication verification tests (to insure system integrity)

Off-site Backup Data Storage

In addition to the backup media kept in the server room for quick restoration of data when needed, the Archive also uses the Harvard Depository to keep copies of backup media off-site. The Harvard Depository is a climate-controlled storage and retrieval facility designed for just this kind of long-term preservation. Periodically, the Murray Research Archive will update the media transport and replacement schedule with the Depository in order to maintain the continued quality of the backups and the efficiency of data restoration.

Progressive Backup Data Migration

To ensure long-term continual access to digital materials when required hardware, software, and other technologies evolve over time, a systematic data migration plan has been designed. Following this plan, the Murray Research Archive will move data from any storage media, data format and associated hardware and/or software that are becoming obsolete to new media, format, hardware, and/or software that are or are becoming standard or currently considered best practice. The Murray Research Archive will also have an annual review of the media, format, hardware and software that are used in our data backup and storage, and will have the budgetary means to migrate data when necessary. The data status review and migration schedule will additionally be recorded with Harvard's Records Management Office, so that important maintenance dates for our data stored in the Harvard Depository will be monitored and proper schedules will be maintained.
